The Administrative Officer works closely with the Owner of Insight Therapy Ltd to ensure smooth daily operations, compliance with child care or health care regulations, and effective administrative management.
The role involves coordinating documentation, assisting with budgeting, maintaining records, supporting licensing and compliance audits, and helping manage communications between staff, parents, and regulatory bodies.
Key Responsibilities
Administrative & Operational Support
Assist the Owner in daily administrative tasks, scheduling, and record-keeping.
Maintain organized files for licensing, inspections, and internal audits.
Prepare and update operational reports, attendance logs, and compliance documentation.
Support the development and monitoring of office and operational procedures.
Coordinate supply orders, vendor communication, and inventory tracking.
Financial & Compliance Assistance
Record daily operational expenses and receipts in Microsoft Excel.
Assist with payroll preparation by collecting timesheets and verifying staff attendance.
Prepare monthly summaries of expenses and assist with financial audits.
Ensure all operational and financial documents are organized for review and renewal purposes.
Human Resources Support
Assist in recruitment documentation, scheduling interviews, and onboarding new hires.
Maintain staff records, certifications, and compliance documentation.
Support staff scheduling and attendance monitoring.
Communication & Coordination
Respond to phone calls, emails, and inquiries from parents, staff, and service providers.
Relay important updates and compliance notices to the Owner.
Help draft correspondence, notices, and internal communication materials.
Health, Safety, and Facility Oversight
Support compliance with workplace health and safety policies.
Maintain organized records of inspections and safety drills.
Assist in coordinating maintenance or facility-related services as needed.
Qualifications
· Bachelor’s degree in Business Administration, Science, Nutrition, or related field.
· Master’s degree or Business Management Certificate considered a strong asset.
· Knowledge in Administration, Accounting, Food, Nutrition, strongly preferred.
· 1–2 years of experience in Administration & Operations.
· Proficiency in Microsoft Excel, Microsoft Word for expense tracking and documentation.
· Strong organizational, leadership, and communication skills.
Employment Details
Hours: 35–40 hours per week
Wage: $22.00
