Specific Skills
· Manage day-to-day office operations, ensuring efficiency in the warehouse and trucking departments.
· Answer and direct phone calls, emails, and inquiries.
· Maintain office supplies inventory and place orders as necessary.
· Prepare and manage correspondence, reports, and documentation.
· Maintain filing systems (both electronic and paper) for easy access to critical information.
· Oversee administrative staff and coordinate daily tasks and schedules.
· Provide training and guidance for new employees in office procedures and company systems.
· Coordinate with warehouse and trucking teams to ensure smooth communication and workflow between departments.
· Schedule and coordinate trucking routes, delivery times, and driver schedules.
· Collaborate with warehouse personnel to ensure the timely loading and unloading of goods.
· Manage appointments and meetings for managers and senior staff, as well as coordination with external partners.
· Handle invoicing, billing, and customer payment tracking.
· Assist in budget tracking, financial reporting, and payroll coordination.
· Ensure accurate and up-to-date recordkeeping for shipments, deliveries, and vehicle maintenance.
· Process and track purchase orders for inventory, equipment, and supplies.
· Ensure compliance with all relevant regulations, including DOT (Department of Transportation) regulations and warehouse safety standards.
· Track and maintain driver licenses, certifications, and training records.
· Coordinate safety meetings and ensure that safety equipment is available and in good condition.
· Serve as a point of contact for customers, suppliers, and other external partners.
· Address and resolve customer issues or complaints related to shipping, deliveries, or inventory.
· Communicate effectively with clients regarding delivery schedules, order statuses, and issues.
· Track and manage warehouse inventory, ensuring that goods are accurately logged and organized.
· Oversee the receipt and distribution of shipments in and out of the warehouse
· Handle any special projects or tasks as assigned by senior management.
· Assist with the hiring process for office and warehouse staff.
· Organize company events, meetings, and travel arrangements when required.
