To support our growing and complex administrative and operational needs, we are seeking a highly organized and proactive Executive Assistant for our location at 121-377 Burnhamthorpe Road Mississauga Ontario o work closely with the CEO and senior management in a fast‑paced, multi‑clinic environment.
Job Duties of this position include:
Develop and maintain administrative systems: Establish, implement, and oversee administrative policies, procedures, and workflow systems that support the efficient operation of multiple dental clinics, ensuring consistency in patient scheduling, records management, compliance documentation, inter‑clinic communication, and executive decision‑making.
Analyze clinic communications and reports: Review and assess incoming and outgoing communications, including patient‑flow reports, treatment‑plan summaries, insurance documentation, compliance updates, and operational submissions from multiple dental clinics and prepare clear and accurate reports for management.
· Coordinate meetings and logistics: Prepare agendas and coordinate all logistical arrangements for management meetings, staff meetings, training sessions, and cross‑clinic administrative discussions, ensuring that all required materials and documentation are distributed in advance.
Prepare executive documentation: Compile data and prepare reports and presentation materials for review by management and clinic leadership teams, supporting informed decision‑making across all our dental clinics.
Liaise with internal and external stakeholders: Liaise with suppliers, service providers, insurance providers, regulatory bodies to support coordinated operations, compliance, and strategic initiatives across all locations.
Manage Executive scheduling: Maintain the CEO’s calendar, schedule and coordinate meetings, make travel arrangements.
Support Administrative collaboration: Work closely with other administrative support staff to provide coordinated and effective flow of information and knowledge.
Oversee records management: Develop, maintain and manage organized records management systems to ensure accuracy, accessibility, and compliance with regulatory requirements.
Prepare business communications: Draft and format documents, presentations and business correspondence as needed.

· Ability to work under pressure.
Education: A Bachelor's degree in public administration, political science or related field.
Overtime: 1.5 times the wage after 44 hours
