Precision Tax Services is a growing firm dedicated to providing expert tax preparation, planning, and consulting services. We are currently seeking a highly organized, proactive, and detail-oriented Administrative Assistant (NOC 13110) to join our team. The successful candidate will play a crucial role in ensuring the smooth operation of our office and providing exceptional support to our team of tax professionals.
A key requirement for this role is fluency in French, as you will be the primary point of contact for a significant portion of our valued client base that is originally French-speaking. You must be comfortable communicating professionally in both French and English to serve our diverse clientele effectively.
Job Requirements
Languages:
French (Required): Advanced professional proficiency (Oral and Written) is mandatory to serve our French-speaking client base.
English: Working knowledge for internal communication and general documentation.
Education:
Completion of secondary school OR an equivalent professional certificate/training in office administration, secretarial studies, or a related field is required.
Completion of a one- or two-year college program for administrative assistants or secretaries is an asset.
Experience:
1 year to less than 2 years of experience in an office or administrative setting. Experience in a tax, accounting, or financial services environment is preferred.
Technical Skills:
Proficiency in MS Office (Word, Excel, Outlook).
Experience with electronic filing systems and tax-related software is an asset.
Job Duties
Administrative Support: Prepare, key in, edit, and proofread correspondence, tax reports, invoices, and related material from machine dictation and handwritten notes.
Office Coordination: Schedule and confirm appointments and meetings for tax professionals and management.
Communication Management: Answer telephone and electronic enquiries and relay telephone calls and messages in both French and English.
Workflow Optimization: Determine and establish office procedures and routines, and coordinate the flow of information internally and with other departments.
Record Keeping: Compile data, statistics, and other information to support the preparation of tax-related reports.
Document Control: Order office supplies and maintain inventory; maintain and update manual and computerized information filing systems.
Correspondence: Open and distribute regular and electronic incoming mail and other material, and coordinate the flow of information.
Technical Integration: May supervise and train other staff in office procedures and the use of software.
