Job Description
HT Gardening and Lawncare is seeking a reliable and organized Office Administrator to support the administrative and operational functions of our growing landscaping business. The successful candidate will assist with office administration, customer coordination, scheduling, project documentation, invoicing, and operational support to ensure efficient business operations.
Duties and Responsibilities
• Oversee and coordinate office administrative procedures and implement efficient administrative processes
• Maintain customer files, service records, contracts, and project documentation
• Prepare and process invoices, purchase orders, work orders, and related business records
• Assist with bookkeeping functions, payroll information collection, expense tracking, and administrative reporting
• Coordinate customer inquiries, appointments, site visits, and service schedules
• Assist in preparing quotations, estimates, and proposal documents for landscaping projects
• Follow up with customers regarding project schedules, service requirements, and work completion
• Coordinate office supplies, equipment, and administrative resources
• Assist in maintaining project schedules and supporting operational planning activities
• Prepare correspondence, reports, forms, and other business documents
• Support the owner with administrative coordination related to ongoing landscaping projects and business operations
• Perform other related administrative duties as required
Employment Requirements
• Completion of secondary school required
• College diploma in business administration, office administration, accounting, bookkeeping, or related field is an asset
• Minimum 5 years of administrative, office coordination, bookkeeping, accounting, customer service, or related experience
• Proficiency with Microsoft Office applications
• Strong organizational and communication skills
• Ability to manage multiple priorities and meet deadlines
Work Setting
Office environment with occasional visits to customer locations within the Lower Mainland for scheduling, coordination, and administrative support purposes.
