Position Summary
Wabasca Desmarais Housing Authority (WDHA) is seeking a dedicated Senior Housing Operations & Tenant Relations Coordinator (NOC 13101: Property Administrator). This is an on-site, term/contract full-time position located in Wabasca-Desmarais, Alberta.
The Coordinator oversees day-to-day tenant relations, housing operations, financial tracking, and property maintenance for WDHA’s housing portfolio in Wabasca and surrounding rural communities.
Key Responsibilities & Main Duties:
Tenant Relations & Client Service: Manage day-to-day tenant relations, applications, move-ins, move-outs, rent status, and tenant communications. Provide respectful, culturally safe, and trauma-informed service, demonstrating strong cultural awareness when addressing sensitive issues with tenants from Indigenous and Cree communities.
File & Record Management: Compile and maintain accurate tenant files—including contact details, Notices of Assessment, rent calculations, tenancy documents, arrears records, and payment history—in WDHA’s master file system and OneDrive folders.
Rent Collection & Financial Administration: Prepare and issue rent statements, arrears notices, and repayment follow-ups. Monitor monthly collection, conduct weekly follow-ups, and perform in-person collection visits adhering to approved safety protocols.
Financial Software & Reconciliation: Use QuickBooks Online (or equivalent) to track rent collection, tenant balances, and arrears. Use Clover POS to process debit payments, issue receipts, and coordinate reconciliations with Finance.
Maintenance & Operations: Coordinate tenant repair requests, communicate with contractors, track repair progress to completion, and assist with utility setup or relocation processes. Assist with preparing and managing maintenance tenders.
Arrears Management & Compliance: Ensure terms of lease agreements are enforced. Support repayment arrangements and prepare eviction-related documentation for management review.
Capital Builds & Systems: Assist with planning new housing or rental builds by preparing applications, permits, and tracking records. Support ongoing improvements to housing software and internal administrative procedures.
Management Reporting: Compile operating data and prepare regular management reports on occupancy, rent collection, arrears, maintenance, and tenant issues.
Qualifications & Skills:
Education: College, CEGEP, or non-university certificate/diploma (1 to 2 years) in business administration or a related field (or equivalent experience).
Experience: 2 to less than 3 years of experience in housing administration, property management, or operational coordination.
Software & Computer Knowledge: Proficiency in MS Office (Word, Excel), QuickBooks Online (or equivalent accounting software), and Clover debit/POS systems.
Licensing & Transportation: Valid Driver’s Licence and access to a reliable, insured vehicle for work-related travel (mileage reimbursed in accordance with WDHA policy).
Personal Suitability: Strong client focus, dependability, excellent interpersonal skills, high organization, team orientation, and proven ability to multitask.
Work Conditions & Location Requirements:
Work Location: On-site at 900 Mistassiniy Road South, Wabasca-Desmarais, AB TOG 2K0. (Note: Remote work is not available due to tenant service, rent collection, and operational requirements).
Community Travel: Travel as required to rural and remote communities served by WDHA, including Red Earth Creek, Sandy Lake, and Calling Lake (normally at least once per month or as operationally required).
Working Environment: Fast-paced environment, working under pressure, tight deadlines, handling a large caseload, and high attention to detail.
Hours: 40 to 48 hours per week. Must be available for occasional evening, weekend, and statutory holiday work for urgent tenant follow-ups, community visits, or maintenance coordination.
Compensation & Term:
Wage Rate: $37.50 per hour
