Job Duties
· Coordinate daily work assignments and priorities for Building Coordinators and support staff under management direction.
· Monitor completion of assigned work and report concerns or issues to the direct manager.
· Maintain and communicate staff scheduling information, including shift changes, vacation requests, sick calls, and leaves of absence. Provides day-to-day supervision and coordination of assigned staff while referring significant employee, operational, policy, and performance matters to management for direction and decision-making.
· Review shift reports and operational documentation and follow up on missing or incomplete information.
· Provide staff with clarification regarding established procedures, assigned duties, and work expectations.
· Assist Building Coordinators with staff assignments, delegation, and regular staff meetings.
· Track staff training requirements and provide updates to management and Human Resources.
· Assist management and Human Resources by gathering information and documentation for employee performance reviews.
· Communicate relevant staff and operational information to management or Human Resources as required.
· Follow established organizational policies and procedures and communicate applicable requirements to staff.
· Report workplace health and safety concerns to management or the appropriate department.
· Assist with routine resident concerns and refer matters requiring additional direction to management.
· Maintain staff schedules, records, reports, and other operational documentation.
· Gather information regarding routine staffing or operational issues and refer matters requiring management direction to the direct manager.
· Participate in staff and operational meetings as directed by management.
· Perform other related administrative and coordination duties as assigned
Education and Experience
· Completion of secondary school is required.
· Completion of college courses related to office administration, business administration, supervision, or a related area is preferred.
· An equivalent combination of education, training, and relevant work experience may be considered.
· 2–5 years of experience in an administrative, operational, support, or related occupation.

· Ability to supervise, coordinate, assign, and review the work of staff within established procedures and management direction.
· Ability to monitor work activities and identify issues requiring follow-up or escalation.
· Ability to gather, organize, and communicate accurate information to management and Human Resources.
· Ability to follow and apply established organizational policies, procedures, and work processes.
· Ability to recognize when an issue requires management involvement and escalate the matter appropriately.
· Ability to organize and prioritize multiple tasks and deadlines.
· Ability to communicate effectively both orally and in writing.
· Ability to maintain accurate administrative, staffing, and operational records.
· Ability to use computerized systems and administrative tools to enter, retrieve, organize, and manage information.
· Ability to provide day-to-day direction and clarification to staff within established procedures.
· Ability to maintain confidentiality when handling employee, resident, and organizational information.
· Ability to work cooperatively with staff, Building Coordinators, management, Human Resources, and other departments.
· Ability to exercise sound judgment within established policies and delegated responsibilities.
