Petite Luminaries Montessori 18 Four Seasons Place, Etobicoke Ontario an early learning centre offering high‑quality Montessori education for toddlers and preschoolers, is seeking a highly organized and detail‑oriented EXECUTIVE ASSISTANT to support senior leadership in daily operations. The role requires professionalism, discretion, and the ability to manage multiple priorities in a dynamic educational environment.
Job Duties of this position include:
· Provide high‑level administrative assistance to the Centre’s Director, including managing calendars, scheduling parent meetings, staff conferences, Montessori classroom observations, and internal planning sessions.
· Draft, edit, and format correspondence, newsletters, Montessori progress reports, policy updates, and internal communications for staff and parents.
· Organize staff meetings, parent‑teacher conferences, licensing inspections, prepare agendas, minutes, and follow‑up action items.
· Maintain confidential student records, attendance logs, incident reports, staff files, and Montessori documentation systems in compliance with child‑care regulations.
· Develop and maintain administrative procedures for enrolment, waitlists, classroom communication, licensing compliance, and daily centre operations.
· Screen calls, respond to inquiries, draft parent notices, coordinate centre announcements, and relay information on behalf of the Director with professionalism and discretion.
· Support the Director in maintaining compliance with Ministry of Education licensing requirements, health and safety standards, staff training records, and inspection documentation.
· Prepare expense reports, track receipts, assist with invoicing, maintain petty cash logs, and support budget‑related administrative tasks.
· Monitor office supplies, coordinate with vendors, manage maintenance requests, and ensure administrative areas remain organized and child‑safe.
· Assist with daily routines such as attendance verification and ensuring communication between administration and teaching teams is timely and clear.
Additional skills

· Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint).
· Strong written and verbal communication skills.
· Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
· Demonstrated ability to handle sensitive information with discretion.
· Professional, courteous, and able to work collaboratively with diverse teams.
Job Type: Permanent, full-time position
Wage: $37/hour for 35-40 hours per week
Overtime: 1.5 times the wage after 44 hours
Experience: 2-3 years in a similar role
Education: A bachelor’s degree in public administration, political science or related field.
Language Requirement: Fluency in spoken and written English
